SustainPro.ai - OpenAI ChatGPT Backend

1. INTRODUCTION

SustainPro.ai is a wrapper application that provides access to OpenAI's ChatGPT with custom prompts optimized for sustainability and carbon accounting analysis.

2. HOW SUSTAINPRO.AI WORKS

1. You create a SustainPro.ai account

2. You submit sustainability questions through our interface

3. We send your prompts to OpenAI's ChatGPT with sustainability-specific instructions

4. OpenAI processes your data through their systems

5. OpenAI returns the response to us

6. We display the response in our interface

Your data flows through OpenAI's infrastructure. We do not store your query data. We do not train AI models on your data.

3. INFORMATION WE COLLECT

3.1 Account Information (Stored by SustainPro.ai)

• Name, email, phone, company name, job title

• Business address and location

• Billing information (processed by Lemon Squeezy)

• Username and password (hashed, not plain text)

3.2 Query Data (Processed by OpenAI - NOT Stored by Us)

SustainPro.ai does NOT collect or store:

• Your sustainability questions/prompts

• OpenAI's responses to your questions

• Your conversation history

• Operational data you discuss with the Agent

• Energy usage, transportation, or supply chain data

This data is sent directly to OpenAI and handled per OpenAI's Privacy Policy

3.3 Technical Data (Minimal - Anonymized)

• IP address and geographic location (anonymized)

• Device type, browser type, operating system

• Login timestamps

• Error logs and diagnostic data

5.2 Query Data (Processed by OpenAI)

SustainPro.ai does not use query data. OpenAI processes your queries per OpenAI's Privacy Policy.

6. CONTROLLING YOUR OPENAI DATA

You can control how OpenAI uses your data:

1. Log into your OpenAI account: openai.com

2. Go to Privacy settings

3. Toggle 'Improve model for everyone' to OFF

4. This prevents OpenAI from using your data for training

5. You can also request data deletion through OpenAI's interface

7. DATA RETENTION

By SustainPro.ai

• Account data: Retained as long as account is active, deleted within 30 days of termination

• Billing records: Retained 7 years (tax requirements)

• Technical logs: 30-12 months depending on type

By OpenAI

• Your queries: Retained per OpenAI's Privacy Policy (default 30 days)

• Can be deleted upon request through OpenAI

• May be used for model improvement (unless you opt out)
